Documenting staff meeting minutes

Bellanet uses wikis to document its weekly staff meetings. During the meetings, which are intended for knowledge sharing and not deicison making purposes, staff are invited to propose topics for discussion. The initiators of the topics have two responsibilities - (1) to lead the discussion; and, (2) to capture the main points of the disucssion in the wiki by the end of the day.

 

Using wikis to capture meeting minutes has proven to be a more efficient and effective process by:

  • Distributing the workload. In the past, staff dreaded meetings in which they had the responsibility of capturing notes. This is no longer an issue.
  • Providing access to out-of-office staff: Staff on travel and colleagues in the region can access the wiki, review the notes and add additional topics and information.
  • Speeding up the process of finalising the notes: Minutes are now drafted within the day whereas a single notetaker did not often have the notes complete until 3-4 days after the meeting
  • It is easier to find past meeting minutes: Each meeting has its own wiki page which is indexed and easily located on a main Meeting Minutes wiki page.
